TYS Recruitment is seeking a highly organized and detail-oriented individual to join a well-established yacht management company as a Yacht Management Assistant.

The ideal candidate for this position is someone with a yachting background looking to go shore-based or a candidate with a solid administrative background.
Responsibilities:
Safety and Compliance:
- Maintain yacht records and ensure proper review, action, and follow-up of reports.
- Assist in internal ISM, ISPS, & MLC audits and plan external audits with flag administrations and classification societies.
- Follow up with yachts on audit findings, ensuring completion of corrective actions within agreed timelines.
- Provide support and training to yacht crew on the use of Management software.
Crew Management:
- Administer crew mail and assist in obtaining necessary crew certifications.
- Review crew timesheets for compliance with work and rest hour requirements.
- Manage crew appointments, contracts, and qualifications and assist with payroll and crew travel arrangements.
Insurance:
- Liaise with Yacht Financial Services for insurance quotes and assist with administration of crew insurance claims.
Marine Operations:
- Coordinate port arrangements, berth reservations, and delivery logistics.
- Assist with fuel and lubricating oil supplies and support the Yacht Manager in preparing monthly management reports.
- Participate in emergency response efforts when required.
Finance Management:
- Collaborate with the Yacht Management Finance team to monitor expenditures and manage budgets.
- Provide financial assistance and guidance for addressing yacht-related financial inquiries.
Technical Assistance:
- Liaise with the Technical Manager regarding defect reports and technical matters.
- Assist with preparation for refits and yard periods as needed.
Other Duties:
- Organize Yacht Managers’ travel plans, including booking flights and accommodation.
- Handle Yacht Manager expense claims and assist with any additional tasks as requested.
